Q: What are the dates of the 2023 AVA Annual Scientific Meeting?
A: The dates for the meeting are October 14 - 17, 2023 with pre-meeting workshops held on October 13.
Q: How do I get a copy of the presentation slides?
A: Presentation slides will be available in the mobile app and website. Slide access will align with the registration type.

Q: How do I claim continuing education credits?
A: Claiming CE at AVASM23 is done in just 3 steps!
- RECORD the unique CE code announced and displayed at the end of each session. Where can you track the codes?
- Record them in your app using the “Take Notes” feature within that session
- Write it on the pocket program
- EVALUATE each session you attended through the “Eval” button at the bottom of the app or on the meeting website. The unique CE code you recorded unlocks the session survey.
- DOWNLOAD and print your certificate after you’ve evaluated your sessions and taken the general conference evaluation.
- EVALUATIONS must be completed by December 13, 2023 in order to earn credit. If you require CME or ASRT credit, please click here.
GOING TO PORTLAND
Q: Where will the events take place if I’m attending in-person?
A: All events will be held at the
Oregon Convention Center (777 NE Martin Luther King, Jr. Boulevard, Portland, OR 97232). Directions and parking information can be found
here.
Q: I have already registered and paid for the in-person meeting, but I can no longer attend. What are my options?
A: Cancellation requests must be submitted in writing to AVA Registration by email
AVARegistration@discoversb.com. The following cancellation fees will apply:
- After September 14, 2023: Refunds are not permitted but downgrades and substitutions are allowed. See below.
- Substitutions are encouraged and may be requested through AVARegistration@discoversb.com. Please include the original attendee's name and the substitute's full contact information. If the substitute's registration options are different from the original registrant's, the registration fee difference will be charged.
- Changes to Registration Type: Those wishing to change their registration from in-person to online-only or vice versa, must do so by contacting the AVA Registration Department at AVARegistration@discoversb.com. After September 14, 2023, A change fee of $75 will apply to all changes in registration. Applicable refunds will be processed accordingly and applied to same method as payment received.
Q: Is the app really that important for this meeting?
A: Yes, it’s an essential onsite tool! Besides a simple pocket guide for the event, it’s the only comprehensive and up-to-date listing of events happening at AVA 2023.
In the app you can:
- View session descriptions
- Evaluate the sessions to earn CE
- View and take notes directly on the presentations
- Browse posters
- Search the program by keyword, topic, or speaker
- Connect with other attendees
- Stay up-to-date with any program changes
- Play the Scan & Win game
Your login credentials were emailed to the email you registered with. If you didn’t receive the email, just click “Forgot Registrant ID?” on the website or app login screen to retrieve it.
Q: How will I be able to ask the presenter questions at the meeting?
A: In-person attendees will be using the AVA app to submit their questions for General Session presenters in the app. Breakout sessions will be done via aisle mic.
Q: Are children allowed at the meeting?
A: Due to the professional nature of this conference, children under the age of 18 are not permitted in the educational sessions or the Exhibit Hall; unless prior arrangements have been made through AVA.
ON-DEMAND SESSION RECORDING
Q: Will the sessions from the meeting be available for viewing on an on-demand basis after the meeting dates conclude?
A: Yes, the educational sessions (except for most exhibitor education) will be available for on-demand viewing after the meeting concludes by no later than October 25. Attendees will be notified via email once the recordings are available. Breakout sessions will be slides and audio only; general sessions will be a video of the presenter with slides and audio. Recording access will align with the registration type.

Q: How long will the sessions be available for viewing after the meeting?
A: Recordings will be available through December 13, 2023.
Q: Can I earn credit for watching the sessions after the meeting?
A: Yes! Starting on October 25th you can listen to any session that you missed in Portland to earn an additional 10 CEs. All credit must be claimed by December 13, 2023 at
www.avainfo.org/eval For more details,

Q: What do I get with my On-Demand registration?
A.
- Earn 20 CEs when you watch the recorded sessions from the In-person conference.
- Recorded sessions will be available from October 25 - December 13, 2023. General sessions will have video, audio, and slides. Breakouts will have audio and slides only.
- This registration type does not include access to the in-person meeting.
- There is NO live streaming registration option for this event.
Q. How do I access the 2023 AVA Annual Scientific Meeting On-Demand Content?
A. All registered attendees will receive an email with their unique Registrant ID by September 18, 2023. Once you receive your unique Registrant ID, log in
HERE.
Q. What Internet browser should I use to access the Virtual Platform?
A. Google Chrome or Mozilla Firefox is the preferred internet browser.
The platform does not recommend accessing the conference while on your VPN. You may need to reach out to your IT administrator to surpass the firewall.
Q. Can I use my computer or my mobile device to connect?
A. You can use either your computer or your mobile device to connect to the 2023 AVA Virtual Meeting.

Q. Will a call-in number be available to listen to the sessions?
A. No, all audio will require computer speakers.
Q. How can I test my device before watching on-demand sessions?
A. Testing your device is a great way to ensure you are ready on October 25! The platform provides a
System Check tool that runs a series of checks on your computer and web browsers to ensure that your device is suitable to use the full potential of the platform. If there are any problems then you will see either yellow warnings (things that can be improved) or red warnings (things that may limit your experience). Your organization's IT support team may be able to help you resolve any of these that are beyond your capabilities.

Q. I'm having trouble loading sessions. What can I do?
A. Here are some tips to help your sessions stream seamlessly:
- Use the latest version of Google Chrome (preferred) or Mozilla Firefox
- Disconnect from your VPN (if applicable)
- If you are in the office, try another network (some offices have robust firewalls that will block video and video chat)
- If your office has a firewall, have your IT staff make sure that you can access streaming audio / video
- Clear your web browser history and cache (CTRL+F5 on PC and Command+R on Mac will do a hard refresh)
- Close any other tabs that may be using a lot of bandwidth
- If you are at home, make sure you are not also using streaming services like Netflix, etc. that could impact your available bandwidth
- Check your internet connection. Use a hard wired internet connection if possible. If you have to use WIFI, make sure you are close to the WIFI device
