REGISTRATION OPTIONS & RATES

There are 2 types of registration for the 2023 AVA Annual Scientific Meeting.

In-Person Registration – Join us in Portland, Oregon October 14-17, 2023 (pre-meeting workshops available at additional fee and will be held on October 13th) for education, networking and some FUN! You can earn up to 30+ CEs with this registration type. 20 CEs will be available to you during the in-person event (more CEs offered if you attend a pre-meeting workshop). Starting on October 25th you can listen to any session that you missed in Portland to earn an additional 10 CEs. See registration fees and other details below.

AVA On-Demand Registration – Unable to join us in Portland, Oregon? We will miss you but have provided an alternative way for you to still obtain CEs and get the amazing education from AVASM23! Register for AVA On-Demand and you will have access to 20 CEs. Starting on October 25th you can watch the sessions presented at the In-Person conference at your convenience. Some presentations will be video recordings and others will be audio/slides only. See registration fees and other details below. On-Demand Registration ends November 9, 2023.

Please note that there is NO live streaming registration option for AVASM23, please choose from one of the options listed above for this meeting.

Full conference in-person meeting registration includes:

  • An email notification will be sent when they’re posted

  • Breakouts will have audio and slides only.
• 30+ CEs between a combination of in-person and post-event on-demand learning:
  • The number of CEs earned between in-person and post-event is up to each individual full-conference participant but in total may not exceed 30 CEs unless you attend an in-person pre-meeting workshop.
  • 20 CEs available during the in-person meeting in Portland, Oregon.
  • Additional CEs available if you attend a pre-meeting workshop
  • Starting October 25th, earn an additional 10 CEs by watching recorded sessions you missed from the in-person meeting.
  • You will have until December 13th to claim CEs and download your certificate.

Single-day only in-person meeting registration includes:

• General and breakout sessions for that day
• Exhibitor Symposia for that day (if applicable)
• Vascular Access Talks for that day (if applicable)
• Access to Pre-Meeting Workshops (additional fees apply)
• Access to the Exhibit Hall for that day (if applicable)
• Access to meal functions for that day (if applicable)
• Conference tote bag

• Access to all recorded sessions for the day registered only (additional CE for on-demand viewing not available)

AVA On-Demand Registration includes:

• Earn 20 CEs when you watch the recorded sessions from the In-person conference.
• Recorded sessions will be available from October 25 - December 13, 2023. General sessions will have video, audio, and slides. Breakouts will have audio and slides only.
• This registration type does not include access to the in-person meeting.
• There is NO live streaming registration option for this event.
• On-Demand Registration ends November 9, 2023.

REGISTRATION POLICIES

Payment Methods

All major credit cards and institutional checks are accepted. Personal checks will not be accepted. 

To register online using an intuitional check (check from your employer), please complete the online registration form and select the “Pay by Check” option. Then your employer or organization should mail a check with a copy of your confirmation email to the address below.


After August 31, check payments will not be accepted. All outstanding balances must be paid using a credit card submitted online or over the phone.

Cash will not be accepted onsite in Portland, Oregon. Credit cards only after August 31 and onsite.

Privacy Policies

As an AVA Scientific Meeting attendee, you have been asked to provide your name and other contact information so that we can send you updates on this meeting.  AVA may also send you emails and/or mailings in the future to share information regarding AVA membership, or upcoming AVA events.  You will be asked to select your privacy setting when you register. 

AVA provides 2023 AVA Meeting attendee lists to our exhibitors and sponsors as a benefit of their support. The following information is provided to them for one-time usage in a spreadsheet format: name, title, company, and mailing address. Email and phone numbers are NEVER shared. You will be asked to select your privacy preferences when you register. Choosing NOT to share your information could prevent receipt of special hospitality events and extra-curricular educational invitations.

Onsite Privacy: Note that your full contact information (title, organization, mailing address, phone, email) is encoded in your name badge bar code received at registration. By allowing your badge to be scanned by exhibitors, you grant permission to any and all companies that scan your badge to contact you, regardless of the privacy policy option you select when you register.

Event Website Privacy: Note that your full contact information (title, organization, mailing address, phone, email) may be visible if you choose to share your information when creating your meeting website account. By choosing to share your information with attendees and exhibitors, you grant permission to any and all companies that come into contact with you to contact you regardless of the privacy policy option you select.

Cancellation Policy

Requests must be submitted in writing to AVA Registration by email to AVARegistration@discoversb.com. The following cancellation fees will apply:

• Before September 14, 2023: Registration fees will be refunded in full minus a $75 cancellation fee. If the initial payment included a membership fee, the membership fee will not be included in the refund.
• After September 14, 2023: Refunds are not permitted but downgrades and substitutions are allowed. See below.
  • Substitutions are encouraged and may be requested through AVARegistration@discoversb.com OR by logging into the self-serve attendee portal and updating your information about your substitutes. You will need your registrant ID found in your confirmation email to login.
  • Changes to Registration Type: Those wishing to change their registration from in-person to on-demand-only or vice versa, must do so by contacting the AVA Registration Department at  AVARegistration@discoversb.com.
    • Before September 14, 2023: Changes may be made at no additional charge. Applicable refunds will be processed accordingly and applied to same method as payment received.
    • After September 14, 2023: A change fee of $75 will apply to all changes in registration. Applicable refunds will be processed accordingly and applied to same method as payment received.

Workshop Cancellation Policy

Written notice of cancellation received by the AVA 2023 Scientific Meeting Registration Manager, no later than 11:59 PM EST on September 14, 2023, will result in a refund of workshop fees paid less a $75 processing fee. Please submit cancellation requests to AVAregistration@discoversb.com. Refunds are not permitted for cancellations received after 11:59 PM EST on September 14, 2023. All refunds will be issued utilizing the same method as the initial payment. No-shows are non-refundable.

• Substitutions are encouraged and should be submitted to AVAregistration@discoversb.com. Please include the original attendee's name and the substitute's full contact information. If the substitute's registration options are different from the original registrant's, the registration fee difference will be charged.

Group Registration

Program Cancellation

In the unlikely event of conference cancellation, AVA will refund 100 percent of the registration fees paid. AVA assumes no liability for any other fees, charges, penalties, or other incidental costs that a registrant might incur as a consequence of cancellation.

Registration fees are not deductible as charitable contributions for tax purposes. Consult your tax advisor, as they may be deductible under sections of the tax code.

Children

Due to the professional nature of this conference, children under the age of 18 are not permitted in the educational sessions or the Exhibit Hall; unless prior arrangements have been made through AVA.
